Meta Business Suite Planner: Scheduling Reels, Stories & Cross-Platform Posts
Publishing natively keeps reach, formats and insights inside Meta’s own tools. Meta Business Suite’s Planner lets you plan and schedule Facebook and Instagram posts, Reels and Stories in one calendar, without third-party schedulers. This guide covers the features that matter for a weekly content workflow.
A version note: Meta Business Suite replaced the older Creator Studio for scheduling, and the desktop and mobile apps don’t always show the same options at the same time. Where a feature varies, this guide says so.
Opening Planner and reading Active times
On desktop, open Meta Business Suite → Planner (in some layouts under Content → Planner). The calendar shows scheduled and published posts, Reels and Stories for the Facebook Page and connected Instagram account you’ve selected.
When you schedule a post, open Scheduling options and select Active times. Meta suggests times based on when your Facebook and Instagram audiences were recently most active. Treat those slots as a starting point and compare them with your own results in Insights.
Pro Tip
Active times often differ between Facebook and Instagram. If you post the same content to both, check which platform drives your goal, and schedule for that audience’s peak rather than splitting the difference.
Customising for Facebook vs. Instagram in one workflow
Click Create post, then select both the Facebook Page and the Instagram account as destinations. Turn on Customize post for Facebook and Instagram to write different text for each one while sharing the same media.
| Element | ||
|---|---|---|
| Caption | Can be longer; links in text are clickable | Shorter hook first; links in captions aren’t clickable |
| Hashtags | Few or none (rule of thumb) | A small set of relevant tags (rule of thumb) |
| Image ratio | 1:1 or 4:5 work well in Feed | 4:5 portrait uses the most Feed space |
| Call to action | Link or button where offered | “Link in bio” or a product tag |
| First comment | Varies | Where the composer offers it |
The ratio and hashtag guidance is practitioner advice, not a Meta rule, and Meta’s composer options change over time. If you don’t see a first-comment field, publish and add the comment from the Inbox or the app instead.
Drafts, rescheduling and editing
Not every post is ready on time. In the composer you can save a post as a draft instead of scheduling it, and come back to it from Planner or the content list. Scheduled items also appear under Content → Posts & reels → Scheduled, which is easier to scan than the calendar when you have many items.
To move or change a scheduled item, open it from Planner or the scheduled list and choose to edit or reschedule it. Menu labels vary slightly between desktop and the Meta Business Suite mobile app, which supports scheduling too. Edits made after publishing don’t change the original publish time, so fix captions before the post goes live.
| Status | Meaning | Action |
|---|---|---|
| Draft | Saved, not scheduled | Finish and schedule |
| Scheduled | Will publish automatically | Check the day before |
| Failed | Didn’t publish | Fix the cause and reschedule |
Scheduling Reels and Stories natively
Reels
- In Planner, choose Create reel and select the Page and/or Instagram account.
- Upload a vertical 9:16 video, then add the caption and any available options, such as a cover image or Instagram collaborator.
- Add a location if the option appears and is relevant to the content.
- Choose Schedule, pick the date and time, and confirm.
Audio options in the desktop composer are usually more limited than in the Instagram app. If a Reel depends on a specific track, add the audio before upload or publish that Reel from the app, and only use music you have the rights to use.
Collaborator invites go to the other account, which must accept before the Reel appears on both profiles. Agree the posting time with the collaborator in advance so the invite doesn’t sit unanswered.
Stories
Choose Create story in Planner, add images or short videos, and schedule. The desktop composer has fewer creative tools than the apps, so interactive stickers such as polls may not be available. Plan sticker-based Stories for the mobile app.
Check scheduled content before it goes live
Scheduled posts can fail if the Instagram account is disconnected, permissions change or the media doesn’t meet format requirements. Review Planner the day before, and fix any failed items listed under scheduled content.
Native A/B testing before full distribution
Meta Business Suite includes A/B content testing for Facebook Pages. You can create up to four versions of a post or a Reel; each version is shown to a portion of the Page’s audience, and the version that performs best on the key metric you choose is then published more widely. Reels can only be tested against other Reels.
For Instagram, the equivalent is trial reels in the Instagram app. Instagram says a trial reel is shown to non-followers first and doesn’t appear in your followers’ Feed or on your profile unless you later choose Share to everyone.
Trial reels are only available to eligible accounts, so check for the Trial toggle in the Instagram app before building it into a client plan. Instagram’s Help Center lists the current eligibility requirements, which may change.
| Feature | Business Suite A/B test | Instagram trial reels |
|---|---|---|
| Platform | Facebook Page | |
| Variations | Up to 4 versions | One reel per trial |
| Test audience | Portions of your Page audience | Non-followers first |
| After the test | Best version published more widely | Share with everyone manually, or automatically if it performs well in the first 72 hours |
| Early results | When the test period ends | About 24 hours after sharing |
Test one idea at a time, for example two hooks with identical visuals. Pick the metric that matches the goal: link clicks for traffic, shares for reach, comments for community.
Worked example (hypothetical)
Suppose a café is launching a seasonal drink. On Facebook, the team creates two versions of a Reel with the same footage but different opening hooks: one leads with the price, the other with the taste. They choose shares as the key metric. On Instagram, they publish a third cut as a trial reel to see how non-followers react.
A week later, they compare the winning Facebook version with the trial reel’s metrics. The better-performing hook goes into the following week’s posts and Stories. This example doesn’t predict any particular result; it shows how to structure a test so the lesson can be reused.
Measure what you scheduled
Scheduling only matters if it improves results. In Meta Business Suite, open Insights → Content to compare reach and engagement by post, Reel and Story across the Page and Instagram account. Group results by format and posting time, and check them against the Active times you chose.
Look for trends over several weeks rather than reacting to a single post. Benchmarks vary widely by niche and audience size, so your own history is the most useful baseline.
A weekly Planner workflow
- Monday: review last week’s results in Insights and note the best format.
- Draft the week’s posts, Reels and Stories with platform-specific captions.
- Check Active times and schedule each item for the right audience.
- Set up one A/B test or trial reel for a new idea.
- Day before publishing: confirm nothing in Planner has failed.
- Friday: reply to comments and messages, and log lessons for next week.
Troubleshooting
- Instagram missing from the destinations: connect the Instagram account to the Page in the business portfolio and confirm your own access to it.
- Can’t schedule: your permissions may only allow some tasks. Ask someone with full control to assign Content access.
- Post went out at the wrong hour: check the time zone shown in the scheduling panel. It may differ from the client’s local time if your team works across regions.
- Different options on mobile: features roll out gradually, so try desktop for scheduling and the apps for creative tools.
Before scheduling for clients, get access right with the Meta Business Suite setup and security checklist. Use the correct canvas sizes from our safe-zone dimensions guide, and measure what works in the Instagram Professional Dashboard audit.
